How we use and protect your personal data. Version 2.0 — last updated July 2026.

This website and our marketing are operated by Roller Fitness Limited, a privately owned sports fitness company registered in England and Wales (company number 11418979). Registered office: 167-169 Great Portland Street, London W1W 5PF, United Kingdom.

We are the “data controller” of the personal data described in this notice, and we comply with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This notice explains what personal data we collect, why we collect it, the legal bases we rely on, who we share it with, how long we keep it, and your rights.

Who this notice covers

This notice applies to:

  • Website visitors — anyone browsing rollerfitness.uk;
  • Customers — anyone purchasing our online Instructor Training Programme, RollerTots or RollerKids programmes, memberships, or products from our shop (including Rollr® products);
  • Instructors and trainees — anyone enrolled in or certified through our Instructor Training Programme;
  • Correspondents — anyone who contacts us by email, through our website forms, or via social media.

What personal data we collect

  • Identity and contact data — name, email address, postal address, and phone number when you make a purchase, create an account, fill in a form, subscribe to our newsletter, or contact us.
  • Purchase and account data — records of the products and training you buy, order history, membership status, and course progress. We do not store your full card details (see “Payments” below).
  • Instructor certification data — enrolment details, assessment submissions, course completion records, certification status, and correspondence relating to your training and certification.
  • Instructor profile data (published with your consent) — if you are a certified instructor and choose to be featured on our website or marketing channels, we collect and publish your name, photograph, biography, location, class details, and social media handles.
  • Reviews and testimonials — feedback you provide about our courses, products, or brand, which we may publish with your consent.
  • Communications data — records of emails, messages sent through our website, complaints, and other correspondence with us.
  • Technical and usage data — IP address, browser type, operating system, device information, pages visited, and how you arrived at our site. This is largely statistical and used for administration and internal reporting.

How and why we use your data

We only use your personal data where we have a legal basis to do so:

  • To perform our contract with you — processing your orders, delivering the Instructor Training Programme, issuing certifications, managing memberships, and providing customer support.
  • With your consent — sending you marketing about products, services, and offers we think may interest you; publishing your instructor profile, photographs, testimonials, or reviews on our website, social media, and marketing materials. You can withdraw consent at any time (see below).
  • For our legitimate interests — running and improving our website and services; maintaining accurate records of who is (and is not) a certified RollerFitness instructor in order to protect the integrity of our certification, our trade marks (including RollerFitness™ and Rollr®), and the public’s ability to verify instructor credentials; keeping records of correspondence, transactions, and complaints so that we can respond to queries and disputes and establish, exercise, or defend legal claims; preventing fraud; and internal research, statistics, and quality control.
  • To comply with legal obligations — tax, accounting, and consumer law record-keeping.

Instructors: your profile, our brand

We are proud to promote our certified instructors. If you agree to be featured, your profile (name, photo, bio, location, and social links) may appear on our Instructors page and in our marketing, including social media.

  • You can withdraw at any time. Email info@rollerfitness.uk and we will remove your profile from our website and stop using it in new marketing within 30 days. We cannot recall printed materials already distributed or content already shared or copied by third parties, but we will take reasonable steps to remove content within our control.
  • Certification records are retained. Even if you withdraw your public profile or stop teaching, we keep a record of your training and certification (including where certification has lapsed or been withdrawn). We rely on our legitimate interests in verifying instructor credentials, protecting our brand and the RollerFitness community, and defending legal claims.
  • Disputes and complaints. If you raise a question, complaint, or dispute about our products, services, certification, or brand, we will keep a record of that correspondence and may use it to respond to the matter and to establish, exercise, or defend legal claims. Your rights and our obligations relating to the training programme itself are set out in our Terms & Conditions.

Payments

Payments on our site are handled by trusted third-party payment providers, currently Stripe, Klarna, and Clearpay. Your card and payment details are provided directly to these providers and are not stored by us. Each provider processes your data under its own privacy notice, which we encourage you to read.

Who has access to your data

We will never sell or rent your personal data, and we will not share it with third parties for their own marketing purposes. We share data only with service providers who help us run the business, under appropriate safeguards:

  • our website and e-commerce platform (Squarespace) and course delivery platforms;
  • payment providers (Stripe, Klarna, Clearpay);
  • email and newsletter providers;
  • analytics providers (see “Cookies” below);
  • professional advisers (such as accountants, insurers, or lawyers) where necessary;
  • law enforcement, regulators, or courts where we are legally required to do so, or where reasonably necessary to establish, exercise, or defend legal claims or to protect our rights, property, brand, or the safety of our customers, instructors, or others.

Children and our RollerTots / RollerKids programmes

Our website, shop, and training programmes are directed at adults. Where our programmes involve children (such as RollerTots and RollerKids), we collect information from and communicate with parents or guardians, not children. We do not knowingly collect personal data directly from anyone under 13. If you are under 18, please get your parent or guardian’s permission before providing us with any personal information. If you believe a child has provided us with personal data, contact us and we will delete it.

How long we keep your data

We keep personal data only as long as necessary for the purpose it was collected, and we review our retention periods regularly. As a guide:

  • order, transaction, and tax records — at least 6 years, as required by law;
  • certification records — for as long as you hold yourself out as a RollerFitness instructor, and afterwards for as long as needed to verify credentials and protect our certification and brand;
  • correspondence, complaints, and dispute records — up to 6 years from the matter closing, in line with legal limitation periods;
  • marketing data — until you unsubscribe or withdraw consent.

Marketing and how to opt out

We will only send you marketing if you have opted in (or, for existing customers, about similar products and services in line with the “soft opt-in” rules, always with the option to opt out). Every marketing email includes an unsubscribe link, or you can email info@rollerfitness.uk and we will process your request within 7 days.

Your rights

Under UK data protection law you have the right to:

  • access a copy of the personal data we hold about you;
  • rectify data that is inaccurate or incomplete;
  • erase your data in certain circumstances;
  • restrict or object to our processing in certain circumstances, including an absolute right to object to direct marketing;
  • data portability — receive data you provided to us in a machine-readable format;
  • withdraw consent at any time where we rely on consent (this does not affect processing before withdrawal).

To exercise any of these rights, email info@rollerfitness.uk. We will respond within one month. These rights are not absolute — for example, we may retain certification and dispute records where we have an overriding legitimate interest or legal need — and we will explain our reasons if we cannot fully comply.

You also have the right to complain to the UK supervisory authority, the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.

Cookies and analytics

This website uses cookies to improve your experience. On your first visit you will be shown a cookie control allowing you to accept or decline non-essential cookies, in line with UK law (PECR).

Cookies are small files saved to your device that store information about your use of the website. We use Google Analytics to understand how visitors use our site; it sets cookies to track engagement and usage but we do not use it to identify you personally. You can read Google’s privacy policy for more information. Third-party cookies may also be set where we use referral programmes, sponsored links, or adverts; these are used for conversion and referral tracking and typically expire within 30 days. You can block or delete cookies at any time through your browser settings.

Social media

Anything you share with us or about us on social media platforms (Instagram, Facebook, TikTok, YouTube, LinkedIn, X/Twitter, Vimeo) is also governed by each platform’s own terms and privacy policy. We will never ask for sensitive information through social media — please use email for anything private. If we feature or re-share your public posts, tags, or comments about RollerFitness in our own marketing, we do so with your consent or in line with the platform’s sharing features; contact us if you would like content featuring you removed from channels we control.

Social sharing buttons on our site and shortened links (e.g. bit.ly) posted from our accounts are used at your discretion; platforms may track your interactions, and we cannot accept liability for third-party links that have been tampered with despite our best efforts to share only genuine URLs.

Links to other websites and partners

Our website may link to websites operated by our partners and other third parties. This notice applies only to Roller Fitness Limited. We are not responsible for the privacy practices of other websites, including sites that referred you to us, and we encourage you to read their privacy statements.

International transfers

We are a UK business with instructors and customers around the world. Some of our service providers (for example our website platform and analytics providers) may process your data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum, so that your data receives an equivalent standard of protection. Note that instructor profiles you consent to publish on our website are publicly visible worldwide.

How we protect your data

We store your personal data on secure servers and take appropriate technical and organisational measures to protect it against unauthorised access, loss, or misuse. No internet transmission is ever completely secure, so any transmission is at your own risk; once we receive your data, we apply strict procedures and security features to prevent unauthorised access.

Changes to this notice

We keep this notice under regular review and will post any changes on this page, updating the version number and date below. Significant changes will be highlighted or notified to you where appropriate.
